Terms and conditions (please read carefully)

  1. Charges
    All pitch fees are charged on a per person per night basis, unless otherwise indicated.
    Children of the age of 18 months and under are non-chargeable.

  2. Arrival & Departure
    Pitch times are from 12 noon on the day of arrival to 12 noon on the day of departure, unless prior arrangement has been agreed and arranged with either Peter or Jane, if you would like to book either an early arrival or a late departure, or both, we will need to be advised at the time of booking to ensure that your pitch will be available, a charge of £2.50 for the extra time on-site will apply regardless of the type of pitch booked, this fee will include any extra electricity hook-up time, if applicable. Back-packer/hitchhiker pitch late departure fee is charged at £1.50

  3. Personal Electricity Generators
    Please Note that we do not permit the use of personal electricity generators, all of our caravan/campervan pitches have the facility for electrical hook-up if you require mains electricity supply.

  4. Bank Holidays
    Unfortunately we cannot accept bookings for less than three nights for Bank Holidays e.g. Friday, Saturday & Sunday night, also a deposit will be required to be paid to us to secure the booking. The deposit can be made by PayPal (see below) or a cheque made payable to P E & J E Mills, please note that the deposit must be received by us as soon as practicable or within 5 days of the booking being made to secure the pitch, the deposit will equal £5.00 per night per pitch, for example £15.00 for a single pitch for three nights, if the deposit is not received as stated above the pitch may be released and allocated to the next requesting customer.

4b. Deposits & Refunds

A deposit may be requested to secure your pitch or pitches and the amount paid will be off-set against your total invoice when you settle your bill (please see below)

If a deposit is requested the full amount of the deposit must be with us within five days (5) of the booking being made otherwise we may let the pitches go to other requesting campers.

Please note that the deposit is non refundable in the event that there is a 'no show' or a cancellation with less than five days before the date of arrival of the original booking and will not apply to a re-scheduled stay and a subsequent cancelled stay. (please see 17 below for our cancellation policy)Top

  1. Payment Methods
    Payment can be made by either cash, PayPal (see below) or cheque (see below

    PayPal
    We are able to accept deposit and full payments via PayPal, if you have a PayPal account and wish to pay by this method please send your payment to pemills@moatfarm-cp.co.uk and ensure that if the box 'I will pay the fee' is ticked, otherwise we will need to add the transfer fee to your invoice/receipt, if a charge has been made.
    Please add a short note identifying the dates being booked and the name that the booking was made in as a reference, and if applicable add the required PayPal fee as listed below.

    Payments made by PayPal may be subject to a 4.5% charge unless you choose to select the option to pay the money transfer fee yourself, this is a new option with PayPal and can be found under the 'Send Money' tab option.

    Cheques
    We can only accept payment by personal cheques as long as it is supported by a bank guarantee card and is in excess of £25.00 in value, if you wish to pay by cheque please make your cheque payable to PE & JE Mills

  2. B-B-Q's
    Unfortunately we no longer allow disposable B-B-Q's on our campsite, this decision has been made due to too many inconsiderate campers who have ignored our requests that they take reasonable care to prevent the grass from being scorched or burnt and dispose of the used disposable B-B-Q container in the supplied on-site receptacles, their inability to follow a few simple steps resulted in ugly burnt patches of grass which made the site look untidy and ugly, we can only apologise to our many other campers who took due care as requested. Please see 12 below with regard to open fires.

    If you wish to have a B-B-Q while you are on-site and you have not brought one with you or the one you have is not able to be raised above the ground on a stand a minimum of 12" (30cm) we have a limited supply of BBQ's which we are available for hire to you for a modest charge of £2.50 per day or if you wish to use one of our BBQ trays to use with your BBQ to raise it above the ground we will happily hire one to you for £1.00, this option will be supplied without the grill and cooking tools.

    A returnable deposit of £5.00 is required for each barbecue hired, which is returned to you after the barbecue has been given back in a clean condition, failure to comply to these conditions will result in the forfeit of the deposit.  Barbecue hire is charged on a 24 hour period or part thereof.

    We usually carry a small amount of B-B-Q coals, if you wish to purchase any please ensure you ask for the coals well in advance preferably at the time of booking.

  3. Dogs/Pets
    Dogs are welcomed as are all types of pets although we do ask their respective owners keep their dogs on a leash and under proper control during their stay with us, we also expect that any 'accidents' are to be cleared up and hygienically disposed of. Unfortunately if it is found that these conditions are not being respected we reserve the right to ask the offending owners to leave our campsite.

Please Note: We respectively request that guests/visitors who bring their pets onto the campsite do not leave them in their caravans/motor homes or tents unattended during their visit to our caravan park, if you intend to go out for the day or part of the day please take your pets with you.

  1. Day Guests
    Visitors are welcome but as space is limited there will be a small extra charge made for visitors and extra cars & dogs etc. a maximum of four (4) extra people and one (1) extra car be invited onto the site/pitch unless permission has been previously sought from either Peter or Jane. A charge of £1.00 per person will be made, 50p for a car and 50p per dog at the time of the visitors arrival.

  2. Electrical Hook-Up Supply
    Our 12 standard pitches all have the facility of electric hook-up, we do not charge any extra for connection but due to the spiralling cost of electricity prices we do ask that you you respect a fair use policy, for example, when you leave your caravan, tent or motor home for extended periods please turn off any unnecessary electrical equipment, e.g. heaters TV's etc.
    If you wish to connect to our electric hook-up's you will need a suitable IP44 240volt 16amp lead, standard household 13 amp extension leads will not fit and you should be no attempt to modify a domestic electricity plug and lead to connect into our hook-up sockets.
    If you do not have a suitable lead we can hire a fully compliant lead for a small daily fee (please see above), if you wish to hire one of our leads please specify at the time of booking as we only have a limited supply, a fully refundable deposit of £25.00 will be required until the lead is returned to us in an 'as supplied condition'.

  3. Pup-Tents
    Pup tents are regarded just like a standard tent and will need to be sited on it's own pitch, we do not allow more than one piece of accommodation equipment on a pitch unless it is physically attached to the main unit occupying the pitch such as an awning attached to a caravan, trailer tent or campervan.

  4. Gazebo's
    Gazebo's on the same pitch are permitted as long as they occupy an area no larger than 9 M2 (standard 3m x 3m) and there is sufficient space spare on the pitch. We would also appreciate the use of an eco friendly (perforated) groundsheet if a ground sheet is being used in the gazebo.

  5. Open Fires
    Other than BBQ's which burn normal charcoal no wood burning fires are permitted on the campsite whether it be on the ground or in any other brazier type of container.

  6. Week-Ends
    As we are such a small camp site we have limited space and as such week-ends can become very busy, because of this limitation we are only able to take week-end single night bookings on an understanding that a single night charge of £2.50 (per pitch) will apply, if you do not agree with this charge and you wish to camp for just one night we will be unable to accept your booking. This does not apply to Bank Holiday week-ends, please see 4 above.

  7. Single Occupancy
    Where a pitch is booked and occupied by just one person a supplement of £2.50 will apply, this supplement is charged on a per night per pitch basis but will not apply if a single night supplement has already been charged for a single night stay on a week-end as described in 13 above.

  8. Waste & Recycling
    Moat Farm is committed to reducing the amount of recyclable waste that finds it's way into landfill sites, to this end we actively encourage the sorting and recycling of any recyclable waste, on our site you will find bins for glass, plastic bottles, paper & cardboard as well as metal cans, please be enviro-friendly and help us 'save the planet' for our future generations.
    We would also like to point out that as we are not a 'Municipal Dump' any large items of rubbish that you may feel you need to dispose of please take away with you when you leave us and dispose of it in the correct manner.

  9. Refusal of Admission
    We reserve the right to refuse admission to our campsite if we feel that a particular item of equipment/tent/caravan etc. will spoil or interfere with the overall enjoyment of our other campers, this rule also extends to any camper or groups of campers who knowingly refuse to respect the consideration of other campers and may be asked to leave.

  10. Cancellation Policy
    (a) Bookings for pitches may be cancelled at anytime by either phone, e-mail or in writing which should be sent to our primary address, but will be subject to 'b' or 'c' below if a pre-payment has been made and the cancellation is within 5 days of the booked arrival date.
    (b) If you choose to cancel your booking and have already paid your deposit by PayPal, cash or by cheque a 'virtual credit  note' will be issued which can be used at a later time in the same year of the original booking for the full value of the deposit paid.
    If you would prefer not to receive a virtual credit note we will be happy to refund your deposit by issuing a cheque made out to the original depositor minus an admin fee of £2.50
    (c) If you choose to cancel your booking and have already pre-paid the whole amount for your stay a refund will be made back to you via the original payment method minus a £2.50 admin fee, if paid by PayPal the refund will be subject to any deductions that we may have been charged to us by PayPal and this amount will be deducted from the original payment amount in addition to a £2.50 refund admin fee.
    (d) We reserve the right to cancel a booking if a requested deposit is not received and paid in full within 5 days from the date of booking.

  11. Wi-Fi Connection and Usage
    Access to the internet is available via our own Wi-Fi access point, this is not a free service but is charged at competitive rates, please be aware that monitoring and filtering of the web sites and use of the internet is made on a per user basis to protect us and you of any abuse of the connection, you may be refused access to certain sites if it is deemed to be illegal or unsafe to do so, e.g File Sharing, Pornography, Terrorism and the like, full records are kept by our supplier to comply with the new Digital Economy Bill. All packages are subject to download/upload limits.

  12. Privacy Policy
    We respect your privacy and as such we do not store or keep any record of any transaction data or personal information that may be given to us by our customers.
